This is a buyer’s guide rather than a product tour. If you are shortlisting school management software for a school in Chennai, Coimbatore, Madurai or Tiruchirappalli, these are the things worth an hour of your time in a demo.
Chennai’s school market is really two markets
Two quite different institutions both call themselves “a Chennai school”:
The matriculation or state-syllabus school. Inside the Samacheer Kalvi common syllabus, registered on EMIS, within the scope of the Tamil Nadu Schools (Regulation of Collection of Fee) Act, 2009 and its Fee Determination Committee. Fee structure is externally determined and periodically defended.
The CBSE or ICSE school. A different examination pattern, different affiliation paperwork, and — under an interim Supreme Court order — currently outside the state fee Act on the ground that it follows a central board.
Many Chennai trusts run both, sometimes on the same campus. That single fact rules out a large part of the market: software that assumes one board, one grading model and one fee-approval process will need a parallel spreadsheet for the other wing within a term.
What to ask: can grading systems, exam terms, weightages and report card templates be set per class, not per school? Matriculation schools and the fee-committee paperwork
A Fee Determination Committee order is binding for three academic years, and the committee — headed by a retired High Court judge — has civil-court powers to summon witnesses and require evidence. That is a documentation obligation, not a filing obligation.
The practical test for any system: can it show you, for any student, what was charged under each head, what was collected, what was reduced and who authorised the reduction?
Look for:
- fee heads kept separate — tuition, transport, hostel, examination, one-time items — rather than a single “annual fee” figure
- concessions recorded as concessions, with an approval trail, rather than as a quietly lower invoice
- waivers and write-offs distinguished from discounts
- system-issued receipt numbers, and rejection of duplicate transaction references

What to test in a demo:
- Can you send a targeted message — this route, this stop, these parents — rather than broadcasting to the whole school?
- Are vehicle, driver, route, stop and per-student assignments held in the same system as the student record, or in a second app the transport in-charge maintains?
- Can the office see which children actually boarded, not just which are assigned?

Do these on your own data, not a demo tenant:
- Import 50 real student rows, including some with missing fields and inconsistent name spellings. Watch how the bad rows are reported.
- Produce one class’s report card with your actual grading scheme, and print it.
- Send one WhatsApp fee reminder in Tamil to a real number, and check the rupee figure and due date are exactly right.
- Record a part payment, then apply a late fee, and confirm the pending amount.

Cost of ownership and contract terms
The line items that surprise schools later:

Tamil Nadu schools reopened for 2026-27 on 4 June 2026.
