This is an evaluation guide for schools in Hyderabad, Secunderabad and the surrounding districts. It assumes you already know what a school ERP does and want to know what to test.
Hyderabad schools are under unusual parent scrutiny
Hyderabad has some of the most organised school parent associations in India. They have campaigned for years for a statutory fee regulator, and their pressure is a large part of why the Telangana Education Commission’s draft Private Unaided School Fee Regulatory and Monitoring Commission Bill exists at all. The draft proposes a commission headed by a retired judge, district-level committees under the Collector, a ceiling on annual increases, and coverage extending to CBSE, ICSE and IB schools. It was still at cabinet stage in May 2026.
Whether or not the bill passes in its current form, the operating environment is already one where a fee structure gets read closely by people outside the school. That changes what your records need to do: not merely support billing, but withstand a line-by-line question from someone who is not your accountant.
Publishing a fee structure you can defend
Three questions decide whether a school can answer parent or regulator scrutiny without a week of reconstruction:
- Are fee heads separated? Tuition, transport, hostel, examination and one-time items should be distinct amounts, not folded into one “annual fee”. A combined figure cannot be defended head by head.
- Is every reduction traceable? A concession must be recorded as a concession — with who approved it and when — rather than showing up as a lower invoice. Waivers and write-offs are different from discounts and should be stored differently.
- Are receipts system-issued? Hand-written numbering makes duplicate and missing receipts unprovable in either direction.

The IT-corridor school and its logistics
Schools along the Gachibowli–Kondapur–Financial District corridor share an operating profile: long bus routes through congested arterial roads, large day-scholar populations, and parents at work who expect information rather than a phone call at 4pm.
Worth testing:
- Can you message one route or one stop, rather than broadcasting to the whole school?
- Are vehicle, driver, route and per-student assignments in the same system as the student record, or in a second app the transport in-charge maintains alone?
- Can the office see which children actually boarded, not just who is assigned to the route?

Multi-board campuses under one management
Hyderabad trusts commonly run a CBSE school, a state-syllabus school and sometimes an IGCSE or IB stream under one management. Software built around a single board fails here quietly: someone starts keeping the second wing’s marks in Excel, and by the third term that spreadsheet is the real system.
Ask directly: can grading systems, exam terms, weightages and report card templates be configured per class rather than per school? Questions to put to any vendor in Hyderabad
