If you run a private school in Kochi, Thiruvananthapuram or Kozhikode, the software conversation is different from the one a departmental school has. This is an evaluation guide, not a feature list: what to test, what to get in writing, and what to walk away from.
The city private school sits outside the state’s own stack
Kerala’s General Education Department runs Sampoorna as its school management software and KITE as its technology arm, and between them the departmental school system is well covered. A private unaided school in a Kerala city sits largely outside that: it still meets recognition and UDISE+ obligations, but nobody is supplying it with a fee ledger, a payroll, a transport module or a parent communication channel.
That is the actual gap. When a vendor demonstrates student registration and mark entry to a Kerala principal, they are demonstrating something the principal has already seen the state do. The parts worth demonstrating are the parts the state does not supply.
A useful framing for a demo agenda:
- money in — fee structures, collection, receipts, arrears, reconciliation
- money out — salaries, statutory deductions, vendor expenses
- people — staff records, leave, contracts
- movement — transport routes, boarding, alerts
- the parent relationship — portal, messaging, PTM scheduling, report cards
Fee collection when the payer is not at the counter
The single most common operational request from Kerala city schools is that fee payment should not require somebody to come to the school office. That has three separate parts, and vendors routinely conflate them.
A payment link a parent can act on. EdunodeX sends fee reminders over WhatsApp, and payments go through the school’s own Razorpay or Cashfree account — configured by the school, settling into the school’s bank account. There is no shared platform account holding your collections. If a vendor’s answer to “where does the money land” involves their merchant ID, get the settlement terms in writing before anything else.
A receipt that is generated, not written. Receipt numbers in EdunodeX come from a database sequence in the form RCP-YYYYMMDD-XXXXX, so two counters cannot issue the same number and a duplicated transaction reference is rejected rather than double-counted.
A ledger the office can answer questions from. One per-student ledger across tuition, transport, hostel and examination heads, with installment plans, concessions recorded as concessions with an approval trail, late fees with grace periods, and waivers kept distinct from discounts. When a parent calls asking why the amount differs from last term, the answer should be on one screen.
School fees remain exempt from GST for recognised pre-school to higher-secondary institutions under Entry 66 of Notification 12/2017-Central Tax (Rate) — tuition, admission, examination, hostel and transport. The ledger you keep is an operational and audit record, not a tax return.
Two rulebooks: CBSE affiliation plus Kerala rules
A large share of the private schools in Kerala’s cities are CBSE-affiliated, some ICSE. Those schools live with a double obligation:
- CBSE for affiliation, mandatory disclosure, examination registration and its own periodic requirements
- Kerala for recognition, UDISE+ data and state-level directions that apply to schools operating in the state
Software that assumes a single board is a problem here. Grading systems, report card templates, exam terms and question paper patterns all need to be selectable rather than fixed. If your school runs both a CBSE wing and a state-syllabus wing, say so in the first demo call. It changes the answer.
What to put in a demo in Kochi or Thiruvananthapuram
Ask for these specifically, on your own data if possible:
- Import 50 real students from your existing sheet, including a couple with messy names and missing fields. See what the system does with the bad rows.
- Generate one term’s report card for a real class, with your grading scheme, and print it.
- Send one WhatsApp fee reminder to a real number, in Malayalam, and check that the rupee figure and due date are correct.
- Record a partial payment and then a late fee, and see whether the pending amount is right.
- Log in as a teacher and try to open another teacher’s class. In EdunodeX, teachers are restricted server-side to their assigned classes — not merely hidden from the menu.
Any of these failing in a demo will fail worse in production.
Data, exit and lock-in
The contract terms that matter are not about features:
- Export. You should be able to pull students, fees, attendance and marks as CSV yourself, without raising a support ticket. A PDF is not an export. EdunodeX also provides GL mappings and a Tally-compatible export for the accountant.
- Isolation. Ask how your data is separated from other schools’. EdunodeX gives each school its own database schema and its own subdomain rather than a shared table with a school-ID column.
- Payment account ownership. Covered above, and worth repeating: it should be yours.
- Migration scope in writing. Opening balances only, or full payment history? Previous years’ marks, or not? A named person and a date.

Kerala schools reopened for 2026-27 on 1 June 2026. Migrations are best done before a term starts, not during one.
