Search "free school management software India" and you get three very different things: an Excel register someone shared, a do-it-yourself template on a no-code builder, and a hosted school system with a free trial. All three cost ₹0 on day one. They do not cost ₹0 in year two, and the difference is not the price. It is who keeps the system running when the office clerk who set it up leaves.

This guide lays out what each one gives a school, answers the questions people actually ask in the comments under those "free ERP" videos, and tells you plainly what EdunodeX costs after the free 30 days.

The Three Kinds of "Free"

1. The spreadsheet

Most Indian schools under 500 students run on this today: one Excel file for fees, one for admissions, a paper register for attendance, and WhatsApp groups for parents. It is free, it is familiar, and it works until two people need to edit the fee sheet on the same day. Receipts are typed by hand, defaulter lists are built by eye, and nobody can answer "how much did we collect in August" without an afternoon's work. Schools moving from Excel to an ERP covers what breaks and when.

2. The do-it-yourself template

No-code app builders now publish "school management system" templates. Fuzen, for example, offers a free starter template with student records, attendance, fees, exams, timetable and announcements, a paid tier at ₹35,000 one-time (a launch price; the listed regular price is ₹75,000), and custom builds from ₹1,00,000. The honest version of what you get: a set of tables and forms that you or a freelancer customise, running on the builder's platform. You own the configuration. You also own the maintenance.

That is a fair deal for a coaching centre with one admin and no parents to message. It is a poor deal for a school that needs UPI fee collection with automatic receipts, WhatsApp fee reminders, UDISE+ exports, transfer certificates and a parent app, because none of that comes in a template and every piece you add is yours to keep working.

3. The hosted system with a free trial

EdunodeX is this kind. A principal or office staff member starts a 30-day free trial with a school name and a phone number. No card, no demo call required. The school gets the full product, imports its students from Excel, and decides at the end of the month. After that it pays per student per month, and the subscription covers hosting, backups, updates, support and training. Nobody at the school maintains anything.

The Eight Questions Schools Ask Before They Sign Up

These are the questions people post under every "free school ERP" video, in the order they ask them. The answers below are for EdunodeX.

"Where will the data be stored?"

On servers in Mumbai, India, with a daily backup kept in Mumbai as well. Each school's records are separated from every other school's at the database level, so one school's staff can never see another school's students. One honest exception: when a school uses the AI Assistant, the question and the records needed to answer it are sent to an external AI model provider to prepare the reply. If you would rather that never happen, the Lite plan has no AI features.

"Can I download it and run it offline?"

No. EdunodeX runs in the browser and in the parent, teacher, driver and admin apps. There is nothing to install on the office PC, nothing to patch, and nothing to lose when that PC dies. Attendance terminals and bus GPS units send their data to EdunodeX over the internet. If you want software that lives on one computer, EdunodeX is not that, and an Excel file will serve you better than a template that still needs the internet.

"Can we take our data out if we leave?"

Yes. Students, fee ledgers, payment histories, payroll and compliance reports export to Excel, CSV, PDF or Tally from inside EdunodeX at any time, and a school that leaves gets a complete copy of its records on request. Your data is the school's property, not ours.

"Can we import our students from Excel?"

Yes. Students, staff and past fee payments import from an Excel sheet. EdunodeX shows a preview of what it understood before anything is saved, so a wrong column does not become a wrong record. Setup and the first import are included in both plans, and most schools start from a paper register or an Excel file. Our Excel to ERP guide walks through it.

"Can we add our language?"

The full app works in English, Hindi, Tamil and Kannada. Sign-in also works in Bengali, Marathi, Telugu, Gujarati, Malayalam, Punjabi, Odia, Assamese and Urdu. On the EdunodeX plan, chat replies to parents in the language they write in.

"Can I sell this to schools in my area?"

Yes. About a third of the people asking under those videos are not schools; they are local IT shops, tutors and freelancers who want something to offer the schools they already know. EdunodeX has a partner program for exactly that. The partner brings the school, EdunodeX bills and supports it, and the partner earns a recurring commission for as long as the school stays.

"Is it free for one time or lifetime?"

Neither. It is free for 30 days, then paid per student per month. We explain why we do not sell a one-time licence in the next section, because that question deserves a straight answer rather than a slogan.

"Does it work outside India?"

EdunodeX is built for Indian schools: CBSE, CISCE and state boards, UDISE+ and APAAR, GST receipts, UPI and WhatsApp. A school outside India can use it, but the compliance features are Indian and the pricing is in rupees.

Why "One-Time Price" Is Not Cheaper for a School

A one-time price sounds like the safer deal, and for a template with no running costs it is: the seller hands over the files and walks away. A school system is not a file. It sends WhatsApp messages that Meta charges for, collects fees through a payment gateway, sends OTPs by SMS, stores photos and documents, and has to be backed up every night and patched when a browser or a government portal changes. Those costs arrive every month whether the vendor charged you once or not. A vendor who took ₹35,000 once has no reason to answer the phone in year two. A vendor who is paid per student every quarter loses that money the day the school is unhappy.

That is why EdunodeX prices per student per month, with the same list price for every school and no setup charge. A 200-student school on EdunodeX Lite pays ₹5,000 a month plus GST. The pricing calculator gives the figure for your school and shows how many extra admissions a year pay for it.

Who Should Pick What

  • Under 100 students, one admin, no fee collection online: a good Excel file is fine. Come back when parents start asking for online payment.
  • A coaching centre or tuition class with a technical owner: a DIY template can work, if you accept that you are now the IT department.
  • A school with a fee desk, a principal, teachers and parents who expect WhatsApp updates: start the 30-day trial, import your students, and send one fee reminder. You will know by the end of the first week.
  • A reseller or local IT shop: read the partner program. It is the same product with a recurring commission attached.
