This is a buyer’s guide for schools in Visakhapatnam, Vijayawada, Guntur and the surrounding districts. It assumes you know what a school ERP does and want to know what actually decides whether one works here.
Three cities, three different school economies
The compliance surface is statewide — the boards, the regulatory commission, the state’s student information system. What differs across coastal and central Andhra is the shape of the school:
- Visakhapatnam — a large port and industrial city with a substantial CBSE and ICSE presence alongside state-syllabus schools, and a strong residential and semi-residential segment drawing students from surrounding districts.
- Vijayawada and Guntur — the state’s densest concentration of coaching-linked and junior-college-attached institutions. A school here very often has an intermediate wing, which means two board relationships and two admission cycles running in parallel.
- Surrounding district towns — smaller schools, thinner office staff, and less tolerance for a system that needs a dedicated operator.
Match the system to the shape. A tool designed for a 400-student single-campus day school will not survive a 2,000-student campus with a hostel and a junior college; a heavyweight enterprise product will not survive a school with one clerk.
Attendance evidence is now a financial record
This is the single biggest change to how an Andhra Pradesh school should think about its records.
The Thalliki Vandanam scheme, notified in June 2025, pays ₹15,000 a year to the mother or guardian of an eligible school-going child from Class 1 through intermediate, across government, aided and unaided private schools, with ₹2,000 retained at source for school infrastructure and sanitation. Eligibility conditions include household income and land-holding limits, an Aadhaar-seeded and NPCI-validated bank account for the mother, and a minimum of 75% attendance in the current academic year.
That last one is the school’s responsibility. An attendance register that used to be an academic artefact is now the evidence behind a household payment, and a family that loses ₹15,000 to a marking error will not treat it as a clerical matter.
Test this specifically in any demo:
- Mark a full day’s attendance for a real class, then change one student’s status. Is the change recorded, with who made it and when?
- Pull a per-student attendance percentage for an arbitrary date range, not just a monthly summary.
- Log in as a teacher and try to alter another class’s attendance. In EdunodeX, teachers are restricted server-side to their assigned classes for attendance reads and writes — not merely hidden from the menu.
- Trigger an absence alert to a real parent number and check it arrives the same day.
EdunodeX supports daily and period-wise marking, per-student percentage reporting, and same-day absence alerts over WhatsApp. Optional face-based marking is available, gated on per-student consent recorded in the system.
Residential and semi-residential campuses
Visakhapatnam and the Vijayawada–Guntur belt have a large residential segment, and hostels break most school software in the same two places.
Hostel fees. These are a separate head with their own cycle, often monthly where tuition is termly. If the system cannot carry a monthly recurring head next to a termly one on the same student ledger, someone will start keeping the hostel book separately — and once that happens, arrears reconciliation is manual forever. EdunodeX supports recurring subscriptions for hostel and transport alongside installment-based tuition on one ledger.
Who is on campus. A residential school needs to answer “is this child here” at times when no class is running. Attendance, leave, visitor records and hostel allocation should be in one system, not three.
Mess and hostel inventory, staff duty records and health records all sit in the same platform in EdunodeX rather than in adjacent tools.
What to verify before signing
Six things, all answerable in one meeting:
- Payment account ownership. Each school connects its own Razorpay or Cashfree account with EdunodeX, and money settles into the school’s bank account. There is no shared platform account holding collections.
- Receipt integrity. Receipt numbers should be issued by the system from a sequence, and a duplicate transaction reference should be rejected rather than double-counted.
- Fee heads. Tuition, transport, hostel, examination and one-time items as distinct amounts — not one “annual fee”. After the High Court set aside the state’s 2021 geography-based fee orders, fee positions in Andhra Pradesh are established through submission and hearing, which is a head-by-head exercise.
- Data separation. Ask whether campuses are separated in the database or only in the interface. EdunodeX gives each school its own schema and subdomain.
- Export. CSV of students, fees, attendance and marks, available without a support ticket, plus GL mappings and a Tally-compatible export for the accountant. A PDF is not an export.
- Migration scope in writing. Opening balances only or full payment history; previous years’ marks or not; a named owner and a date.
Bandwidth, devices and the office reality
Coastal Andhra schools are mobile-first in practice. Parents read on phones, and a good share of staff work on phones too. Two practical checks:
- Open the parent portal and the teacher screens on a phone browser, on mobile data, not on the vendor’s laptop over office wifi.
- Ask what happens to a message when a parent has no smartphone. SMS is metered and billed per message everywhere — get the inclusions in writing rather than discovering them in month two.
Be direct with any vendor about offline behaviour rather than accepting a vague answer. A cloud system needs connectivity; the honest question is what degrades gracefully and what stops, and you should get a specific answer rather than a reassurance.
Getting a school in Andhra Pradesh live
The workable sequence: import the student master and fee structures first, run one fee cycle alongside the existing process, reconcile the two, then cut over at a term boundary. Attendance can go live earlier than fees — it is lower risk and, given Thalliki Vandanam, higher value.
EdunodeX covers admissions with document OCR behind an explicit consent step, a unified fee ledger with the school’s own gateway, attendance, transport, hostel, HR and payroll, timetabling, and a compliance engine with UDISE+ export. The staff interface ships in English, Hindi, Kannada and Tamil — not Telugu — while parent-facing WhatsApp replies do handle Telugu, with amounts, dates and marks computed in code and passed through unchanged.
