Most school software sold in India is built around one assumption: the academic year starts in April. In West Bengal, it does not. That single difference — plus a board split across two bodies and a four-semester Higher Secondary structure introduced in the last two sessions — is why generic ERP configurations tend to go wrong in Bengal within the first term.
This page sets out what a West Bengal state-board school actually has to accommodate, and what to check in any system before you commit to it.
Two boards, two rulebooks
West Bengal does not have a single school board. The West Bengal Board of Secondary Education (WBBSE) governs secondary schooling and conducts the Madhyamik Pariksha at Class 10. The West Bengal Council of Higher Secondary Education (WBCHSE) is a separate statutory body that governs Classes 11 and 12 and conducts the Higher Secondary examination.
A school running Classes 5 to 12 therefore reports into two authorities with different registration cycles, different examination calendars, and different mark structures. Software that models “the board” as a single field on the school profile cannot represent this. What you need is board affiliation held at the class or stage level, so that Class 10 and Class 12 can carry different grading systems, different report-card templates and different registration data at the same time.
The January-to-December academic year changes everything
The West Bengal school calendar runs 1 January to 31 December, conventionally split into three terms — roughly January to April, May to August, and September to December. Primary schools have moved to a two-semester split of January to June and July to December. WBBSE publishes its Model Holiday List against the calendar year, not an April session; the 2026 list was issued on 9 December 2025 under memo D.S.(Aca)/888/A/25/6.
The knock-on effects are larger than they look:
- Promotion and roll-over happen in December, not March. Any system that hard-codes a March year-end will strand a class list halfway through your session.
- Fee cycles align to the calendar year. An annual fee head raised in April is out of step with the session; quarterly instalments land on a different quarter boundary than in Maharashtra or Delhi.
- Financial year and academic year no longer coincide. Your April-to-March books cut across two academic sessions, which matters for revenue recognition, dues carry-forward and audit trails.
Ask a vendor to show you an academic year configured as 1 January to 31 December, with a second year already created and a student promoted between them. If it needs a workaround, that workaround becomes your problem every December.
The WBCHSE four-semester system and your marks module
WBCHSE has moved Classes 11 and 12 onto a four-semester structure, phased in from the 2024-25 session for Class 11 and carried into Class 12 from 2025-26. The structure is specific:
- Semesters 1 and 2 sit in Class 11 and are conducted by the school itself.
- Semesters 3 and 4 sit in Class 12 and are conducted by the Council. Semester 3 examinations have been held in September and Semester 4 in February.
- Semesters 1 and 3 are multiple-choice papers answered on OMR sheets. Semesters 2 and 4 use short-answer and descriptive formats.
- Higher Secondary certification is computed on Class 12 performance.
For a school, this is not a cosmetic change. Your examination module now needs four assessment periods per two-year stage, two of which you conduct and record yourself, with a paper pattern that changes between odd and even semesters. Weightage configuration, mark-entry screens and report-card templates all have to reflect that. A system that models “Term 1 / Term 2 / Annual” cannot hold it without abuse of the term labels — and abused term labels are what produce wrong report cards two years later.
Madhyamik at scale
Madhyamik 2026 was held from 2 to 12 February 2026, in a single sitting from 10.45 a.m. to 2.00 p.m., across 2,682 examination centres. A total of 9,71,340 candidates appeared — 5,44,606 female, 4,26,733 male and one candidate registered under the transgender category. Results were declared on 8 May 2026.
Registration, correction windows and admit-card distribution all run through the school. A school with 300 Class 10 students spends real staff time reconciling name spellings, gender fields, subject combinations and photographs against board records. Any system you buy should export a clean, board-shaped candidate list and hold document-verification status per student, rather than leaving it in a parallel spreadsheet.
The Puja vacation is longer than the summer vacation
The WBBSE Model Holiday List 2026 sets 65 holidays for the year. Summer vacation is short — 11 to 16 May 2026, six days. The Puja vacation runs 15 October to 12 November 2026, twenty-five days excluding Sundays, spanning Maha Chaturthi through the day after Bhatridwitiya. A separate set of observation days — 23 and 26 January, 15 August, 5 September and 26 September — require staff and student attendance even though classes are suspended.
No other state has this shape. A four-week autumn shutdown means:
- Attendance percentages computed against a naive working-day count will be wrong for October and November.
- Fee reminders scheduled during the vacation reach nobody and damage your response rates.
- Transport, hostel and canteen costs need a defined non-operational window.
- Syllabus pacing has to absorb a month-long gap in the third term, which is exactly when Madhyamik and Higher Secondary preparation is at its most sensitive.
Your holiday calendar has to be a first-class object that the attendance engine, the messaging scheduler and the timetable all read from — not a display-only list.
Reservation, RTE and the state reporting layer
West Bengal splits Other Backward Classes into OBC-A and OBC-B, alongside the central SC, ST and EWS categories. An admission form offering a single “OBC” option collects data you cannot later report. The state also applies its own income threshold for RTE Section 12(1)(c) admissions and its own age-cutoff convention, and school records feed Banglar Shiksha, the School Education Department’s school management and student-data platform.
Your student master therefore needs the state’s category vocabulary from day one, and your export needs to be reshapeable to the state’s column set. Retrofitting category data across 1,200 students after a department circular is a month of work.

Grading systems are configurable per board — CBSE, ICSE or state-board grade bands with ranges and grade points — so a school running WBBSE at Class 10 and a different board elsewhere is not forced into one scheme.
- The holiday calendar supports holiday types and board presets, and the scheduler skips holidays — which is what stops a Puja-vacation fee reminder from going out to 900 families on Ashtami.
- Parent messaging goes out over the official WhatsApp Business API using Meta-approved templates, with per-guardian opt-in enforced server-side. Bot replies are answered in the language the parent wrote in, including Bengali, with amounts, dates, marks and names computed in code and preserved exactly — only the wording is translated. The staff interface itself ships translated bundles for English, Hindi, Tamil and Kannada.
- UDISE export is available for government reporting.
Where to start
If you are evaluating systems for a WBBSE or WBCHSE school, run three tests before anything else: configure a 1 January to 31 December academic year and promote a student across it; create four examination terms mapped to the WBCHSE semester structure and enter marks in two of them; and load the 2026 Puja vacation into the holiday calendar and confirm that attendance and scheduled messages both respect it.
A system that passes those three is worth a full evaluation. One that does not will cost you a term.
